Terms and Conditions 

1. General

  • •To use the online registration system, each user must first create a user account.
  • •An account activation link will be sent to the email address you use to create your user account.This link will be active for 24 hours only and must be clicked to activate your account.
  • •Once the account has been activated you can begin the registration process.
  • •A personal address (Institution/Company or private) and email address for each delegate must be provided during the registration process.
  • •Multiple registrations with the same email address will not be accepted by the system.
  • •Agencies registering delegates on behalf of any member of the pharmaceutical industry will be requested to provide the name and country of the sponsoring company.
  • •Please ensure the billing details are entered correctly as invoices cannot be changed at a later date.
  • •Pro-forma invoices will be issued by the system and available to download in your user account in order to facilitate payment.
  • Commercial invoices will be issued by the system and available to download in your user account after payment has been received. Please allow three working days for credit card payments and five working days for bank transfers/bank drafts.
  • • The following payments are accepted through the on-line registration system (a) credit card (Visa, MasterCard or American Express), (b) bank transfer and (c) bank draft.
  • Confirmation of registration and invitation letters will be available for download in your user account once required supporting documentation (photo ID) if applicable and payment has been received. Please allow three working days for credit card payments and five working days for bank transfers/bank drafts.

2. Big Groups

  • • Big group registrations are open to groups of 10 or more delegates only.
  • • In order to comply with security and insurance regulations, personal postal and email addresses are required for each delegate. Registrations submitted without these details will not be processed. One email address or one postal address for multiple delegates will not be accepted by the system.
  • • Agencies registering delegates on behalf of a pharmaceutical company will be requested to provide the name and country of that sponsoring company. This information will be used for reporting and statistical purposes.
  • • As the main contact person for the group registration you will be assigned a Group Identification Number (ID) for which you will not be charged. Please note that as the main contact person you are not entitled to any of the delegates’ benefits (access to the congress area, delegate pack, etc). If you wish to benefit from any of the delegates’ entitlements please register.
  • • To qualify for the early registration rate, payment must be received before 31st May 2013. All delegate contact details for the paid early registrations must be received no later than 17th June 2013. Delegate contact details received after this date will be subject to a higher registration fee. Any changes or additions after 16th August 2013 will be handled on-site when on-site registration fees will apply.
  • • Name changes are free of charge up to 19th July 2013 and subject to a fee of 25EUR thereafter.
  • • Delegate confirmations/invitation letters will be available to download through your user account, once payment and all delegates’ names and contact details have been received. Confirmation letters do not quote any payment details; this procedure guarantees the confidentiality of payment-related information. Please note that these letters will not be forwarded directly to your delegates; you will be responsible for delivering each document to your group members.

 

Group Collections:

Group collections prior to the start of the congress will be available on an appointment only basis. Appointments must be booked in advance. All information about collection appointments will be sent in due course. During the congress, group collections will not be available from the Congress Registration Desk; delegates must collect their congress materials individually.

  • • The small group registration allows you to register someone else up to a maximum of 9 persons.

4. Payment Options

Credit Card

Please use the on-line system to register by credit card using VISA, American Express or MasterCard. On-line Payment Provider: Realex, The Forum, 29/31 Glasthule Rd, Co. Bank Transfer

Please use the on-line system to register by bank transfer details for which can be found on the proforma invoice. All charges due on the bank transfer must be paid by the registrant. Please include the prof-forma invoice number as reference on the bank transfer.

By Bank Draft

Please use the on-line system to register by bank draft. Further details can be found on the pro-forma invoice. All charges due on the bank draft must be paid by the registrant. Please include the prof-forma invoice number as reference on the back of the bank draft.

 

5. Cancellations/Refunds

Cancellations must be made in writing to the congress secretariat; for individuals and third parties please email registration@epilepsycongress.org . For groups please email groups@epilepsycongress.org. Currency exchange gains/losses are the responsibility of the registrant and the Congress Secretariat will accept no liability for money loss through bank charges, transfers or currency fluctuations. Refunds will be settled within one month of the congress, in order to facilitate necessary organisational and logistical procedures.

 

CANCELLATION FEES:
On or before 31st May 2013 Registration fees refunded less 10%
On or before 28th June 2013 Registration fees refunded less 40%
On or before 26th July 2013 Registration fees refunded less 60%
On or before 16th August 2013 Registration fees refunded less 80%
From 17th August 2013 No refunds
The name change fee (25 EUR after 19th July 2013) is not refundable at any time.

6. Name changes

Any name changes made after 19th July 2013 will be subject to a surcharge of 25 EURO. This surcharge is not refundable at any time.

Name changes received after 13th August 2013 will be handled on-site.
