Registration procedure

Please register delegates one by one through our online registration system.

Please note the following for online registrations:

  • You should complete a registration for each delegate.
  • You should fill the online registration form with the delegates’ full postal and email address.
    This information is required for security and insurance regulations. Registrations submitted with companies' or agencies' details will not be processed until delegates' details are provided.
  • Agencies registering delegates on behalf of any member of the pharmaceutical industry will be requested to provide the name and country of the sponsoring company. This information will be used for reporting and statistical purposes.
  • Individual confirmation of registration letters will be emailed directly to the delegates. Please be advised that individual confirmation of registration letters contain payment information. Please note that if you submit your registrations with your own e-mail address, instead of the delegates’ e-mail addresses, the confirmation of registration letters will not be emailed to you: you will be requested to provide the delegates’ e-mail addresses.
  • The only form of payment accepted through the online Registration System is credit card (American Express, Visa or MasterCard).
  • Invoices can be only issued per delegate (i.e. if you register 10 delegates, and you need an invoice for the amount paid, you will be provided with 10 invoices, one for every delegate you registered).
  • Collection appointments prior to the start of the congress cannot be arranged for delegates registered through the online registration system.
  • NOTE: The on-line pre registration system will close on 13th August 2010

Change of delegates’ names will be subject to a surcharge of 25.00 Euro after 28th May 2010.
Currency exchanges are the responsibility of the registrant and the Congress Secretariat will not accept liability for money loss through bank charges, transfers or currency fluctuations.

 

Entitlements

Delegate Registration includes:
  • Access to the conference sessions on Thursday 26th August, and Friday 27th August 2010.
  • Conference bag and delegate material, including Final Programme.
  • Access to the exhibition area during the conference.
  • Coffee breaks and lunches on Thursday 26th August, and Friday 27th August 2010.
  • 12th ECES Opening Ceremony on 25th August 2010.
Name changes

Any name changes made after 28th May 2010 will be subject to a surcharge of EUR 25.00. This surcharge is not refundable at any time.
Please send your requests for name changes to registration@epilepsycongress.org
Name changes should be clearly explained, detailing who is the delegate you wish to replace and providing full details for the new delegate you want to register (name, postal address and email address).
Any name changes received from the 13th August 2010 will be handled on-site.

 

Cancellations/refunds

Cancellations will only be processed upon receipt of written notification. Refunds will be settled within one month of the congress, in order to facilitate necessary organisational and logistic procedures.

Cancellation of registration fees is as follows:

On / Before 28th May 2010 Registration Fee refunded, less 10%
On / Before 25th June 2010 Registration fees refunded, less 50%
On / Before 30th July 2010 Registration fees refunded, less 80%
From 14th August 2010 No refunds

The name change fee (EUR 25.00 after 28th May 2010) is not refundable at any time.

Payment options

Payments are only accepted in Euro. Payment can be provided by credit card, bank draft or bank transfer.
